How to export your orders (and what to delete before you send it anywhere)
Etsy · Amazon · eBay · Shopify — Finance Tools CA, November 2026
Before you send any export to anyone, delete the customer columns. Names, email
addresses, phone numbers, shipping addresses and anything else that identifies a buyer. None of it is needed
to work out profit, and holding it creates a duty you do not want.
Etsy
- Shop Manager → Settings → Options → Download Data.
- Choose Orders, pick the date range, and download the CSV.
- You get item price, shipping, tax, and the fees Etsy charged, one row per item.
- Delete the buyer, ship name and ship address columns before sharing it.
Amazon (Seller Central)
- Reports → Business Reports, or for the fee detail:
Reports → Payments → Date Range Reports (choose the summary or transaction view).
- The payment report is the useful one: it lists referral fees, FBA fulfilment fees, storage and ad charges per order.
- Order reports include buyer names and addresses — remove buyer-name, buyer-email, ship-address-1/2/3,
ship-city, ship-postal-code.
eBay
- Seller Hub → Payments → Reports, or Orders → Download report.
- The payout report gives gross, final value fees, other fees and net per order — the cleanest single file.
- Remove Buyer username, Buyer name and Postal address columns.
Shopify
- Orders → Export, choose All orders or the current page, CSV for Excel.
- Shopify’s export is transaction-level; fees come from your payouts report or your payment provider’s statement.
- Delete Email, Name, Shipping Name, Shipping Address1, Phone.
The columns worth keeping
| Column | Why |
| Date | So a month can be compared to the last one |
| Order number | So a line can be traced back when something looks wrong |
| SKU or listing title | So items can be ranked by profit |
| Gross, or buyer paid | The revenue figure |
| Fees | Per order if available; otherwise a total you can apportion |
| Shipping charged and shipping cost | The two figures that most often disagree, and the disagreement is money |
| Item cost | Landed cost, not supplier price |
| Ad spend | Total spend divided by orders |
What to do with the file once it is clean
Free: paste it into
Margin Guard and it
returns profit per item, your margin, the fee share of revenue and the items losing money — in a browser, with
no signup.
Done for you: the same file sent to a person, who reads it and writes back what to change, in 24
hours —
US$49, 25% off with STARTER25.
Menu paths in seller dashboards change. If a path differs in your account, search the export
option by name — every one of these platforms moves its reports menu occasionally.
